Reservation Requests

All groups interested in booking a stay in University Housing must complete the reservation request form. Requests are accepted on a continual basis and reservations are based on availability, so early submission is encouraged. The reservation request form will close March 1, 2025, or when spaces are no longer available, whichever comes first.

Once the completed conference reservation request form is received, a staff member will contact you to schedule a meeting beginning in January to go over the drafted contract/agreement, policies and what to expect. After the meeting, the group sponsor will receive the formal contract/agreement. All reservations are pending until an executed contract/agreement is received. 

The following is list of various information you will be asked to submit during the reservation request submission process: 

  • Basic camp/conference information (e.g., check-in/checkout dates, purpose, number of sessions) 
  • Estimated information about the participants (e.g., number, gender breakdown, age – if minors) 
  • Room type preferences (i.e., tradition vs suite style; double occupancy vs single occupancy) 
  • Sponsor information for both the group sponsor and UGA sponsor 
    • Group sponsor – the person associated with the camp/conference who will be the primary point of contact with University Housing prior and during the group’s stay 
    • UGA sponsor – the UGA school, college, department or program that will be supporting the camp or conference 
  • Financial information (e.g., billing contact, UGA ChartString for UGA-affiliated groups)  

Every effort will be made to accommodate requests; however, submission of a request form does not guarantee space.
