All groups interested in booking a stay in University Housing must complete the reservation request form. Requests are accepted on a continual basis and reservations are based on availability, so early submission is encouraged.
Once the completed conference reservation request form is received, a staff member will contact you to schedule a meeting to go over the drafted contract/agreement, policies and what to expect. After the meeting, the group sponsor will receive the formal contract/agreement. All reservations are pending until an executed contract/agreement is received.
Have the following information ready:
- Basic camp/conference information (e.g., check-in/checkout dates, purpose, number of sessions)
- Check-in windows available include:
- Group check-ins: All participants will arrive at the same time within a short window. Time slots available for group check ins are between 9 a.m. and 12 p.m. or between 1 and 4 p.m.
- Individual check ins: Participants will check in individually throughout the day
- All checkouts must take place before 12 p.m. on the date of departure.
- Check-in windows available include:
- Estimated information about the participants (e.g., number, gender breakdown, age – if minors)
- Room type preferences (i.e., tradition vs suite style; double occupancy vs single occupancy)

- Group sponsor – the person associated with the camp/conference who will be the primary point of contact with University Housing prior and during the group’s stay
- UGA sponsor – the UGA school, college, department or program that will be supporting the camp or conference
- Financial information (e.g., billing contact, UGA chart string for UGA-affiliated groups)
